Shop view access: Manage access and visibility of shop content

 Shop view access gives administrators direct control over shopping content visibility in the Integrated Shopping Experience. It introduces two connected capabilities: the ability to map which organization or user groups can see certain Marketplace views and the ability to select a view when publishing a free-text form. It gives administrators the flexibility to reuse views with multiple organisations and user groups or restrict certain views to an organization or user groups. It provides a clearer way to control what content different users can see and use in Marketplace.

Why it matters

 Previously, administrators could control content visibility by creating views for specific organizations or user groups but the same view could not be reused across multiple organisations and user groups. There was also limited ability to control free-text form access for specific user groups. This lack of flexibility made it harder for organisations with complex structures to manage content visibility effectively. 

What's New

A new Shop view access tab has been added that allows administrators to map Marketplace views to organisations and user groups, defining which shopping content - catalogs, punchouts or free-text forms can be visible to users when they access the Shop. Access is controlled through these mappings, so users automatically see content associated with the views assigned to their organisation or user group.

The way free-text forms are published to Marketplace has also changed. Each free-text form can now be linked to one or more views before publishing, giving administrators the same level of visibility control over forms as they already have over catalogs and punchouts. To ensure existing free-text forms continue to work, they have been automatically migrated to the existing auto-created views and published to Marketplace.

  • Administrators:  Gain control over which users can access specific content in Shop. Have more fine-tuned control over free-text forms with possibility to restrict certain forms for a limited user groups. 

  • Consultants/Partners: Get the ability to configure flexible setups across complex organisations with limited number of views.

  • End users: See only relevant items and forms in the Shop, improving usability.

Where to find it

To map views to organizations and user groups, go to Data Management > Marketplace settings > Shop view access tab.

To publish free-text forms to views go to Data Management > Free-text forms editor > View dropdown.
