Invoice status check is a new service for suppliers to check the status of their invoice without needing to first register or authenticate into the service.
If the service is activated for a tenant, suppliers of that tenant can receive a direct URL to the service. This reduces the work for the AP team when suppliers check the status of their invoice through the self-service UI.
Invoice status check requires three pieces of information to search for an invoice: Invoice number, Invoice date, and Gross total of the invoice. All three fields must be filled before a search can be performed. The search is limited to a single invoice per search.
The search returns the invoice status and payment details, but no additional invoice data is displayed.
The statuses shown in the service are:
- In approval - Invoice is imported to P2P and not yet transferred.
- Ready for payment - Invoice has been transferred to ERP.
- Paid - Invoice has been paid.
- Rejected - Invoice is in the "Removed" status in P2P. Rejection reason is shown according to configuration in Data management.
- Disputed - Invoice is in the "Disputed" status in P2P. Dispute reason is shown according to configuration in Data management.
- Processed - Exceptional case when invoice is in completed status (processed, archived, closed, historical) but it has no payment information.
If the Invoice status check does not return any invoice and status information, the service provides explanations and tips how to make the queries successful.
Taking Invoice status check into use is easy. It requires minimal configuration, such as customizing the title of the service and possibly adding customer-specific instructions. To enable Invoice status check, please contact your Basware consultant or Basware Support.
