A pivotal step in achieving Touchless Invoice Processing is digitizing your suppliers. For the April Tips & Tricks article, we review the process for using the Campaign tool within our Supplier Portal to invite suppliers to migrate. This is a very straightforward tool and can significantly accelerate the onboarding of suppliers to e-invoicing channels.

By informing your suppliers about your e-invoice receiving channels, you increase the likelihood of receiving e-invoices, improving the quality of data received and speeding up processing times. This, in turn, reduces the overall cost and resources required to deliver a best-in-class AP function.

Transitioning to e-invoicing is beneficial not only for your organization but also for your suppliers. E-invoicing facilitates shorter processing times, cost savings, reduced environmental impact, and faster payment times. Additionally, it offers suppliers the convenience of tracking their invoices through the Basware Portal, ensuring transparency and ease of use.

Within our Supplier Portal, we have a solution called Goal-Driven Campaigns available. This strategic tool allows you to communicate directly with your supplier base to achieve specific outcomes that align with their broader operational objectives. In this article, we are focusing on using this functionality to transition suppliers to electronic invoicing, but it can also be used to establish new early payment agreements, implement dynamic discounting programs, or enrich supplier data.

Creating a campaign using the Basware Portal is very straightforward and requires the following steps to be completed in the system:

  1. Setting Campaign Goals: Set your target conversion rate onboarding suppliers to e-invoicing

  2. Campaign Parameters: Naming the campaign and defining its duration.

  3. Invitees Selection: Importing contacts via CSV, entering manually, or pasting email addresses.

  4. Landing Page Setup: Customizing with a company logo and message.

  5. Invitation Setup: Crafting the invitation with a reply-to email, company logo, and optional attachments.

  6. Review and Launch: Finalize campaign details and launch.
